Privacy policy

In brief

  • We only use the data needed to plan, run and invoice your session.
  • The contact form is handled by FormSubmit, a US service; the transfer is explained below.
  • Recordings are kept for 6 months after delivery and then deleted.
  • No analytics, no advertising cookies, and nothing is sold on.
  • Ask to see, correct or delete your data at any time via [email protected].

01Who is responsible

The controller under the General Data Protection Regulation (GDPR) is Comptelogicza B.V., Czaar Peterstraat 148, 1018 PR Amsterdam, registered with the Dutch Chamber of Commerce (KvK) under number 85932008. The director is Sanne de Vries.

For any privacy question, reach us via [email protected] or 020 754 3816 (Monday to Friday 10:00–22:00, Saturday 11:00–18:00, closed on Sunday). We have not appointed a data protection officer, as a studio of our size is not required to; Sanne de Vries is your point of contact.

02Data we handle

  • Contact and booking details: name, email address, phone number, chosen service, preferred date and the content of your message.
  • Billing details: company name, billing address, VAT number and payment details such as the account your deposit comes from.
  • Recorded material: audio files, session files, stems, scripts and notes you supply or that are created in the studio. A voice counts as personal data when someone can be recognised by it.
  • Age: only whether you are 16 or older, since younger artists book together with a parent or guardian.
  • Technical data: IP address, browser type and time of access in our host's server logs.

We do not ask for special categories of data. If you mention something about your health, for example that your voice is tired, we use it only to adjust the session.

We make no decisions based solely on automated processing and build no profiles. We do not send newsletters.

04The contact form and FormSubmit

The form on the contact page is processed by FormSubmit, a United States service that forwards each submission as an email to [email protected]. Your name, email, phone, service, date and message therefore pass through servers outside the European Economic Area.

For this transfer we rely on the EU-US Data Privacy Framework where the recipient is certified under it, and otherwise on the European Commission's standard contractual clauses. We cannot promise an identical level of protection, as US authorities may request access under their own laws. If you prefer to avoid this, email or call us directly via [email protected] or 020 754 3816; your request is handled exactly the same way.

05Recordings, voices and files

Raw recordings, session files and masters are kept for 6 months after delivery, so you can still ask for a revision round or an extra export. After that they are deleted from our workstations and backup drives. If you want them removed sooner, or kept longer, agree this with us in writing.

If you bring in other people's voices for a production, such as voice actors or guest singers, you are usually the controller and we act as your processor. For that we sign the data processing agreement with you. Rights in the material are covered in the terms and conditions.

06How long we keep data

  • Requests that do not lead to a booking: up to 12 months after the last contact.
  • Booking and correspondence data: for the duration of the job and 2 years after, for questions or complaints.
  • Invoices and supporting records: 7 years, as Dutch tax law requires.
  • Recorded material: 6 months after delivery.
  • Server logs: as briefly as our host technically allows, usually a few weeks.
  • Your cookie choice: 182 days in your own browser.

07Who we share data with

We only share data with parties we need to run the studio:

  • TransIP B.V., Schipholweg 9B, 2316 XB Leiden, Nederland, for website and email hosting within the EU;
  • FormSubmit, for the contact form (see above);
  • our accountant and bank, for bookkeeping and payments;
  • the Dutch Tax Administration, where the law requires it.

Service providers that process data on our behalf are bound by security and confidentiality terms. We never share your recordings with third parties without your consent, not even as a reference or demo.

08Security

The website runs entirely over HTTPS. Studio workstations and backup drives are encrypted and kept in a locked room. Only Sanne de Vries and the engineer on your project can access your files. We share files through download links that expire after a limited period. If a personal data breach does occur, we report it to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours where required and inform you if the risk to you is high.

09Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and objection to processing based on legitimate interest. Where you gave consent, you can withdraw it at any time; for cookies use the .

Send your request to [email protected]. We respond within one month and may ask you to confirm your identity, without requiring a copy of your passport. If you disagree with our answer, you can lodge a complaint with the Autoriteit Persoonsgegevens.

10Changes

We update this policy when our practice or the law changes. The version on this page applies from 5 October 2026 and was last updated on 5 October 2026. Browser storage is described in the cookie policy.
